Make a work order in 4 steps

  1. Fill in the job header — your business, work order number, client, job site and scheduled date — the pre-filled example shows a Berlin heating repair.
  2. Describe the job — one clear line of what is to be done, so the technician and the client agree before work starts.
  3. Add tasks and rates — hours and hourly rates, or parts as single lines; subtotal, tax and total compute live.
  4. Download the PDF — one click, no signup. Hand it to the technician, get the client's acceptance signature, and file it with the invoice.

What a work order is — and the math

Quick answer: A work order is the instruction sheet for a job: who the client is, where the work happens, what is to be done, and what it will cost. The pre-filled example totals €386.75 — subtotal €325.00 (2×€65 + 1×€65 + 1×€148) plus 19% German VAT of €61.75 — computed live in the form.

Trades and field-service businesses live or die on written job instructions. A verbal job leads to the classic disputes: the client expected a different scope, the technician did not know about access rules, nobody agreed the price. A work order settles all three before anyone picks up a tool: scope in writing, site and schedule fixed, charges itemised. When the job is done, the same document becomes the acceptance record — the client's signature confirms the work was completed as described — and the invoice that follows simply mirrors it.

Total = sum of (Hours × Rate) over all tasks, plus tax at your rate. Parts are entered as quantity 1 at the parts price, which keeps labour and materials on the same clear table. Tax is user-entered: Germany's standard VAT rate is 19%, the UK's is 20%, and US jobs usually carry no VAT but may carry state sales tax on parts — check what applies to your job and set the rate accordingly. For the money side, pair this with our invoice generator once the work is accepted, and our quotation maker when the client wants a price before committing.

Worked example — a boiler repair in Berlin

LineAmount
Replace boiler circulation pump (2 hrs × €65)€130.00
Bleed radiators and test system (1 hr × €65)€65.00
Pump unit — parts€148.00
Subtotal€325.00
VAT (19%)€61.75
Total€386.75

The pre-filled form uses exactly these numbers — press Generate to see the finished work order PDF. Use your real rates for live jobs.

What makes a work order hold up

Three details prevent most disputes: a precise job description (not "fix heating" but "replace faulty boiler pump and bleed all radiators"), the scheduled date and site access notes, and an acceptance signature line. Add photos of the finished work to the job file, keep the numbered sequence unbroken, and never start a job whose scope the client has not seen in writing — that single habit is worth more than any contract clause for small jobs.

Straight talk: limits

✅ A work order is not a contract

For large or regulated jobs (structural work, gas, electrical), you still need a proper contract and any required permits. This tool covers the everyday job instruction and acceptance record.

📝 Tax is your responsibility

Rates are user-entered: Germany 19% and the UK 20% are the standard VAT rates, but reduced rates and exemptions exist. Check the rate that applies to your trade and job type before issuing.

💾 Save your PDFs

The form lives only in this tab and clears on refresh — download each work order before you leave.

Why browser-only beats server-upload tools

Adobe's online tools and most server-upload converters ask you to send your document to their servers before you can download a result — and their privacy pages say files may be kept for hours or used to improve services. For a petty-cash voucher, a work order, a purchase requisition or a deposit slip, that document contains supplier names, amounts, account details and internal approvals: exactly the data you least want sitting on someone else's server. This tool never uploads anything, so there is nothing to leak, retain or subpoena from a third party. The trade-off is honest too: because everything runs in your browser tab, the form clears if you refresh, and very large files can be slower than on a server. For everyday business documents, that trade is worth it — and the PDF you download is identical in quality, with no watermark and no account wall.

Work Order Maker FAQ

Is this work order maker really free?

Yes — unlimited work orders, every field, PDF download, forever. No trial, no watermark, no account, no payment details. The PDF is assembled in your browser, so there is nothing to meter.

Do I need to sign up or give my email?

No. The maker works the moment the page loads. There is no account and no email capture — which also means the form clears if you refresh, so download your PDF before leaving.

Where is my work order data stored?

Only in this browser tab while you type. The PDF is assembled on your own device — client names, addresses and prices are never uploaded to any server.

What should a work order include?

A work order number, date, business name, client, job site, scheduled date, a clear job description, itemised tasks with hours and rates, totals with tax, and signature lines. This tool includes all of them.

Can I add parts as well as labour?

Yes. Add a parts line with quantity 1 and the parts price — labour and materials sit on the same table and the total covers both.

How is a work order different from a quotation?

A quotation is a price offered before the client commits; a work order is the instruction to do an agreed job. Use our quotation maker for the offer, then this tool once the client says yes.

Can I use it for EUR, USD and GBP?

Yes. Pick EUR, USD or GBP in the currency dropdown and every total on the work order uses that currency and symbol.

Sources & trust

Work-order practice follows standard trades and field-service documentation used across the EU and US; VAT rates cited are the German standard rate of 19% and the UK standard rate of 20%. Totals are computed live in your browser; nothing is stored or transmitted. Researched by PDFBuddyFree Team · Last updated November 2, 2026.
