Order details

Items — one per line, "description | qty | unit price"

How to use it in 4 steps

  1. Enter seller, buyer and order number. Use a unique, sequential order number so every order can be traced back to the customer conversation.
  2. Add items one per line. Write “description | qty | unit price”, for example “Web design package | 1 | 1200”. Subtotal, tax and order total update live.
  3. Set the tax rate and terms. Enter the VAT or sales tax rate that applies, plus delivery and payment terms in plain words.
  4. Download the PDF. One click builds a formatted sales order PDF with the item table and totals — send it to confirm the order, then invoice from it later.

Worked example: a design studio order

A design studio agrees a web design package at €1,200 (quantity 1) plus three months of maintenance at €150 each (€450). The subtotal is €1,650; at 20% VAT the tax is €330 and the order total is €1,980. Enter those two lines above with a 20% tax rate and the totals match instantly.

Once the customer confirms, the same figures flow straight into your paperwork: generate the matching document with our invoice generator when the work is delivered, or a purchase order if you are the buyer placing the order instead.

Answer in brief: the facts

A sales order is the seller's confirmation of a customer's order, recording the agreed goods, quantities, prices and delivery terms before fulfilment. Under the EU Late Payment Directive (2011/7/EU), the default payment period in business-to-business transactions is 30 days unless otherwise agreed — which is why stating payment terms on the order itself prevents most “when do I pay?” disputes.

Why browser-only beats server-upload tools

Server-upload tools receive your full document: your client names, amounts, salaries or CV details sit on somebody else's server, under somebody else's retention policy, even if the page promises deletion. This tool does the opposite — the PDF is assembled or converted by JavaScript running on your own device, so the file never travels anywhere. You can verify that in your browser's Network tab: no upload request appears. For confidential business and personal documents, that difference matters more than any extra feature, and it is why our safety guide recommends browser-only tools for sensitive files.

Straight talk: limits

📝 An order is not an invoice

A sales order confirms what was agreed; it does not request payment. Invoice separately when the goods ship or the work is delivered, using the same figures.

⚖️ Not legal advice

Whether an order is binding, and which cancellation or return rules apply, depends on your contract and your country's consumer and commercial law. For large orders, use proper terms and conditions.

💾 Save your PDFs

Because nothing is uploaded, nothing is stored for you either. Download each order before leaving the page.

🔤 Plain text only

The PDF uses a standard font for maximum compatibility, so exotic scripts and emojis are simplified. Keep descriptions in standard Latin characters for the cleanest output.

Sales Order Maker FAQ

Is this sales order maker really free?

Yes — unlimited orders, every field and PDF download, forever. No trial, no watermark on your order, no account and no payment details, because everything runs in your browser.

Do I need to sign up or give my email?

No. The maker works the moment the page loads. There is no account and no email capture — which also means the form clears if you refresh, so download your PDF before leaving.

Where is my order data stored?

Only in this browser tab while you type. The PDF is assembled on your own device, so your customer and pricing details are never uploaded to any server.

What is the difference between a sales order and an invoice?

A sales order confirms the agreed purchase before delivery. An invoice requests payment, usually after delivery, and carries a due date. Use the order to confirm, the invoice to collect.

What is the difference between a sales order and a purchase order?

They are two sides of one deal: the buyer issues a purchase order to order goods, and the seller replies with a sales order confirming it. If you are buying, use our purchase order maker instead.

How do I write the items?

One per line in the form “description | qty | unit price”, for example “Web design package | 1 | 1200”. Lines that do not follow that form are ignored, and the live totals show only valid items.

Can I use it in USD or GBP as well as EUR?

Yes. Choose EUR, USD or GBP in the currency menu and every total in the live preview and the PDF updates to that symbol.
